Meeting was called to order by Richard Cherry at 7:10 PM 1. Cash Position: HVB Operating Account $ 78,365.34 Merrill Lynch L/T Reserve $ 724,939.63 Merrill Lynch S/T Reserve $ 149,785.14 Total $ 953,090.11 2. June 6th Event: Management has sent the invitation to all residents and a reminder is going out tomorrow. Only a handful of residents have indicated they will attend. The caterer has been hired and given an estimate of 50 attendees. The oversized check for the$40,000 PILOT payment has been ordered. 3. Project Updates: Boilers: John Royce Plumbing has completed installation of three boilers. Physical Condition Survey: Management met with Mr. Iaconno and Abner to review the survey prepared by Antonucci and Associates. We reviewed their recommendations and are setting some priorities. These include: • Replacement of several sections of concrete sidewalk. • Road asphalt repair. Management is having Mr. Altieri review the conditions and make recommendations. • Installation of additional chain link fencing along Boston Post Road side of complex. Management will obtain proposals. • Increasing the size of the two garbage stations. Management will obtain proposals. • Repair/paint rusting railings. Abner will look into this. • Power wash some shingle roofs. Abner will look into this. • Replace/repair cedar shakes on several sections of the buildings. Management will obtain proposals. • Replace pine trim around windows with man made materials. Management will obtain proposals. • Paint gas piping in exterior utility closets. Abner will look into this. • Add carbon monoxide detectors in apartments. Abner and management will look 1111 into this. • Repair failing garage door soffits and trim. One has been done. • Remove or repair apartment location signage. It is management's understanding that all this work would be funded from reserve funds. 4. Management Contract: The three year management agreement between the Housing Authority and Gramatan Management expires at the end of 2009. The current management fee is $21,072 per year($1,756 per month). Gramatan Management is requesting a three-year extension with 4% increases each year. This would be calculated as follows: 2010 $21,915 2011 $22,791 2012 $23,703 5. Sal Iaconno discussed the 2008 audit. He has reviewed the draft and awaits the final audit, which will be distributed to the Board and management. 6. Richard Cherry requested that management present updated tenant information • data at each Board meeting. Meeting was adjourned at 8:30 PM 1110
